BASIC FUNCTION:The Gift Operations/Prospect Research Specialist is a proactive member of the operations team supporting the Foundation office and performing a wide variety of research, analytical and reporting functions to advance the Foundationu2019s philanthropy efforts in support of capital, endowment, and annual and planned giving campaigns, and special projects. Functions include timely gift recording, acknowledgement and related functions, updating and maintaining the donor database; developing and analyzing queries and reports; implementation of research methodologies that facilitate the identification of prospective donors; volunteer management; and contributing to the overall operations of the Foundation. SUPERVISORY ACCOUNTABILITY:Foundation volunteers and annual May Pops volunteers. NATURE AND SCOPE:Internal - Daily interaction with all Foundation team members and IRMC administrative staff. External u2013 Regular interaction with donors, prospective donors, Board Members, Foundation volunteers and IRMC Auxilians, and vendors. PRINCIPAL ACCOUNTABILITIES:Supports the mission, vision and values of the hospital. Responsible for working in a safe and protective manner at all times keeping in mind that safety and environmental hazards are the responsibility of all employees for themselves, other staff members and patients. Coordinates with Gift Operations staff to ensure the timely recording, receipting, reporting and depositing of gifts, including cash, checks, securities, gifts-in-kind, bequests, and pledges. Responsible for timely recording, receipting and reporting of all recurring gifts. Updates and maintains integrity of the donor database by accurately researching and recording changes in constituent records, including demographic information. Works with Foundation database manager to ensure consistency of information made available in Raiseru2019s Edge and used for development of queries, exports and reports. Research and identify donor prospects, utilizing all internal and external resources available, including but not limited to Raiseru2019s Edge donor database, Spokeo, Wealth Engine and iWave scoring/reports. Produces written summaries of donor prospect information based on a combination of data from the donor database, available financial records, real estate ownership, and other markers of high quality donors. Responds to specific research requests. Reviews, identifies, recommends and implements appropriate new research techniques as they arise. Develops and produces operations reports, including appeal analysis, email and appeal mailing schedule, and Foundation calendar. Develops and analyzes donor and gift queries and exports as requested by Foundation Staff. Responsible for supporting mass e-mail Foundation communication, including preparation of accurate constituent lists based upon email type and donor opt-outs and researching email bounce-backs. Adds and updates constituent actions relative to donor participation in Foundation events and programs. Supports the execution of all Foundation programs and events, including assigning and managing RSVP lines, emails, and follow-up, development of queries and exports for printing and mailing of materials, reports for table seating assignments, and preparation of table numbers, name badges, and table cards. Utilizes Adobe Creative Suite to create event invitations, donor communication pieces, program materials and donor gift forms. Responsible for annual movie and May Pops volunteers, including planning and coordination of volunteer tasks and responsibilities, recruitment, task assignment, training and management of up to 200 volunteers. Coordinates weekly operations meeting to include scheduling, agendas and materials. Maintains historical archive of Foundation appeal and event material mailing. Provides staff support as necessary to assist in workload distribution, including providing back-up for Gift Operations staff and Administrative Assistant responsibilities. Supports the overall daily activities of the Foundation office in a way that ensures an efficient level of operation. Attends seminars, webinars, and workshops as they pertain to donor records management and prospect research responsibilities and software used, such as Adobe, Excel and Vizio. Performs other duties and assignments as necessary. CORE COMPETENCIES:Experience with non-profit organizations, particularly in donor records management and prospect research techniques, highly desirable. Demonstrated ability to investigate, analyze, and synthesize large quantities of data into a user-friendly and concise format for use by foundation staff. Excellent verbal and written communication skills including spelling, grammar, punctuation, ability to compose/edit business communications and strong focus on accuracy, attention to detail and commitment to quality. Demonstrated ability to prioritize, manage and execute multiple projects according to deadlines for one or more team members in a fast-paced environment with minimal supervision. Excellent organizational and time management skills. Effective, creative problem-solver with strong initiative and excellent follow-through. Commitment to customer service and teamwork; excellent interpersonal skills. Commitment to confidentiality. MINIMUM REQUIREMENTS:High school diploma or GED required; Associate or Bachelor Degree preferred. Three (3) to five (5) yearsu2019 experience in a comparable position. Intermediate to advanced knowledge and proficiency in MS Office Suite required. Database experience required; Raiseru2019s Edge or other donor database experience preferred. Beginning desktop publishing experience required, Adobe Creative Suite experience preferred. Available to work occasional evenings and rare weekends.
