Position Overview: The Publications Coordinator supports proposal development activities and maintains the upkeep of all publications contained in the central and dispersed libraries. Job Responsibilities: The position of Publications Coordinator essential functions include, but are not limited to, the following duties. Additional essential functions may be identified by the organization and listed as such in the incumbent's performance appraisal elements. Various tasks may be assigned to each crucial duty. Those that are listed under the examples of work are not all-inclusive; they are examples only and may be amended or added to as needed by the organization: Review the RFP for proposal production/documentation guidelines to develop document templates and apply correct formatting standards.Provide extensive desktop publishing and chart design to electronically develop presentation data for all color review teams and final proposal submission requirements.Develop briefings, reports, and other marketing materials as requested.Support the Publications Manager in developing and maintaining the proposal directory.Provide assistance in the coordination of tradeshow activities, graphic development, and the ordering of marketing supplies.Ensures electronic posting/distribution of the RFP and associated materials to proposal team including all updates/amendments/modifications received and distributed in a timely manner.Handle all meeting logistics, conference room set-up, and preparation of meeting materials as needed. Assist with the coordination of administrative setup – network access, badge/security forms, telephone, office supplies, etc. for consultants and other proposal team members. Support color team reviews with the creation and production of required documents (RFPs, proposal sections, evaluation forms, and summary sheets). Prepare the final proposal (soft copy and hard copy) for delivery to the customer following the guidelines provided in the RFPMaintain inventory of proposal supplies/materials for the proposal team.Other duties as assigned.The incumbent must have ability to adapt in a fast-paced, deadline driven work environment, which includes nights and weekends. Proficiency in MS Word, PowerPoint, and Excel is required. MS Project, Adobe Photoshop and Illustrator skills are desirable.QualificationsBasic Qualifications: Associates degree plus 3 years' experience or Bachelor's degree plus 1 year experience.
