The primary responsibilities of the Office Service Associate (OSA) include providing general office support to a variety of different users. The OSA will be familiar with providing general mail support, including delivering, picking up, and processing mail. In addition, the OSA will also support the office with all hospitality needs. These include setting up catering for meetings, breaking down conference room set ups, and also maintaining the general office pantries. Additional responsibilities include:

Performing regular Mail Runs

Receiving, sorting and delivering incoming regular and accountable mail

Process incoming/outgoing pouches (e.g. inter-office)

Scheduling couriers/messengers

Moving boxes/packages to and from offices as needed

Handle light office moves (new hires/terminations, inter-departmental moves)

Conference room setups/clean-ups including equipment requests (chairs, whiteboards, etc.)

Maintaining order and cleanliness in pantries/kitchens

Managing all Visiting Personnel Offices (“VPO”)

Ordering office and mailing supplies to support office demand

Convenience room checks (re-stock and order supplies)

Fulfilment of document scanning requests

Fulfilment of B/W and color print requests

Punches and binds printed materials

CD/DVD duplication

Creation of custom labels for binders, tabs, file folders, CDs

Ad hoc Special requests (box moves, pictures, files, books, IP File Runs, Files to Records, Maintain Firm directories, etc.)

Required Skills

2-4 years office services experience in a legal environment

HS Diploma or equivalent, or demonstrated ability to meet the job requirements

Strong knowledge of Microsoft Outlook

General knowledge of Microsoft Word, Excel, and PowerPoint

Ability to quickly learn proprietary systems

Excellent written and oral communication skills sufficient to provide routine information, answer inquiries, and refer calls

Provide premiere service to clients with a “can do” attitude

Able to lift up to 25 lbs
